What is Payroll Administration
This is a system used by most companies, small and large, to process salaries and wages of their employees and keeps up to date records of all transactions taking place within their business. This include monitoring all types of Leaves and any other statutory payments made to employees and/or deductions, which requires for such records to be kept for inspection purposes by authorised agents.
Why the Payroll System - Legislation
South African Labour Laws state that each Company, for as long it employs workers, must keep up to date records of earnings of their employees. This is also visible in the Basic Conditions of Employment Act [BCEA], as well as in the Legislations governed by most Bargaining Councils. So, it is compulsory that companies must comply with these types of Legislation as it creates a rather harmonious working relationship.
Also, it creates a greater transparency so that employees can be fully aware of their actual earnings as well as what is being deducted off their salaries.
What our company offers:
Management of complete payroll administration. Payroll processing – weekly, fortnightly and monthly payrolls, including Overtime, Public Holidays, Sunday Pay and any other Payments earned. You send us the Time and Attendance Registers, manual or electronic file, we do the processing accordingly. We shall also, upon request, submit the payroll files to respective banking institutions, that way making it easy for employees to be paid promptly and efficiently without fail.
- Detailed computerised and confidential payslips delivered to your door step via courier.
- Password secured payslips may also be sent to respective employees via email at no extra cost.
- Reconciliation of U.I.F., PAYE, Pensions and Provident Fund, Bargaining Council’s Returns and any other statutory contributions as may be determined by various Bargaining Councils and/or statutory bodies.
- Deduction and management of Garnishee Orders and/or Loans.
- Processing of IRP5 and IT3a and issuing certificates thereof.
- Keeping companies informed of most Bargaining Council’s collective agreements, including complying with set minimum wages where applicable.
- Management and auditing of Annual Leave, Sick Leave, Family Responsibility Leave, Maternity Leave, Study Leave and/or Unpaid Leave.
- Ensuring compliance with all statutory bodies.
- Drafting of Contracts of Employment including Code of Conduct also known as the Disciplinary Code and Grievance Procedure.
- Drafting of any other Human Resources documents and/or Company Policies.
- Chairing of Discliplinary hearings and preparation of outcomes.
- Representation of the clients at various bargaining councils and/or statutory bodies.
- Assisting employees to claim where applicable, their provident funds, UIF and/or any other statutory benefits.
- Dispute Management as well as keeping both employer and employee updated on the latest legislation as and when applicable.
What does it cost you?
- The Total cost to the Client is dependant on the type of services you require, thus, tailor made to suit your Company at a reasonable all inclusive monthly retainer fee. Depending also on your size of Company, a once off initiation fee may be required, subject to certain terms and conditions.
- Ad-hoc services are also done and the client will be charged for the actual work done as may be determined from time to time.
